WorkHub Resource Scheduler timeline with Jira issues, allocations, leave and daily workload bars per person

Plan Capacity, Allocations and Leave Visually

Schedule Jira issues, custom allocations, and leave on a drag-and-drop resource timeline. Create allocation categories for meetings, training, support, or other work not linked to Jira issues. Daily workload indicators use each person's capacity scheme to show who is available, overloaded, or away.

Workload Indicators and Leave, Day by Day

Each person has a daily workload indicator that compares assigned hours with available capacity. Approved leave and holiday calendars adjust capacity for non-working days, making scheduling conflicts visible before the sprint begins.

Split One Issue Across Several People

Jira allows one assignee per issue. Split an issue into parts, one per person, each with its own dates and hours. Every part shows as a bar on that person's row and counts toward their workload, without changing the Jira issue.

WorkHub Features

All-in-one resource capacity planning and timelines for Jira — schedule work, track time, manage leave and report on utilization, with custom allocations for non-issue work such as training and meetings.

  • Capacity planning. Drag Jira issues and custom allocations onto a Gantt timeline for visual resource planning. Create categories for meetings, training or support. Color-coded workload indicators show who is free and who is overloaded.
  • Time tracking and timesheet approvals. Log time against issues and allocations, view timesheet reports by user, project, issue or any custom field, route them through an approval workflow and export to Excel.
  • Reports. Utilization Forecast, Project Resources, Planned vs Actual, Worklogs and Leave Summary — built for capacity planning and workload management.
  • Issue colors. Color-code issue bars on the scheduler with AND/OR rules by status, priority, due date, fix version or any custom field, with nested condition groups and relative date expressions.
  • Leave and availability. Request and approve vacation, sick leave and your own custom leave types.
  • Holiday calendars. Import country-specific public holidays, add your own non-working days and assign a holiday calendar to each person, so capacity drops to zero on those days.
  • Capacity schemes. Define working hours per person, one value per weekday, so part-time and compressed schedules are planned against real availability.

Frequently Asked Questions

What is Jira capacity planning?

Capacity planning in Jira means comparing scheduled work with the hours your team has available. WorkHub calculates availability from each person's working hours, holiday calendars, and approved leave, then compares it with scheduled work in the Resource Scheduler.

Does WorkHub replace Jira time tracking or extend it?

It extends it. WorkHub writes worklogs against your Jira issues, so Jira reporting keeps working. On top of that, you get a weekly grid, a live start/stop timer, a panel on the Jira issue view, date-range filters and Excel export, plus the ability to log time against custom allocations that are not tied to an issue.

How do part-time and compressed schedules affect Jira workload?

Create a capacity scheme with the real hours for each weekday and assign it to the person. The built-in Standard Full-Time scheme is 8 hours Monday to Friday, and you can add schemes such as 4 hours Monday to Friday for part-time or 10 hours Monday to Thursday for a compressed week. Workload percentages are then calculated against that person's own capacity.

How does the Jira timesheet approval workflow work?

Users submit a weekly or monthly timesheet from the Timesheets module. Assigned approvers see pending timesheets and can approve or reject them, with configurable approval rules and worklog locking so approved periods stay stable. Progress views compare utilization and planned versus actual hours.

Which Jira hosting option does WorkHub support?

WorkHub is an Atlassian Forge app for Jira Cloud. It installs from the Atlassian Marketplace and opens from the Apps menu in your Jira navigation bar, with a full-screen workspace containing My Work, Scheduler, Time Tracking, Timesheets, Leave, Reports, Settings and My Account.
